This includes: •Account Information: Name, email address, phone number, flat/unit number, and society name provided during registration. •Visitor Information: Names, phone numbers, photos, and visit timestamps of visitors logged by security guards. •Device Information: Device type, operating system version, unique device identifiers, and mobile network information collected automatically when you use our mobile application. •Usage Data: Information about how you interact with the platform, including features accessed, actions performed, and time spent on various sections. •Location Data: Approximate location data to verify that security guard check-ins occur within the society premises (collected only with your explicit permission).

We use the information we collect to: •Provide, maintain, and improve the SocietyVMS platform and its features. •Process visitor approvals and rejections in real-time. •Send push notifications to residents about visitor arrivals. •Authenticate users and manage role-based access (Resident, Security Guard, Society Admin). •Communicate with you about service updates, security alerts, and support requests. •Generate anonymized analytics to improve platform performance. •Comply with legal obligations and enforce our Terms and Conditions. •Prevent fraud, unauthorized access, and other potentially illegal activities.

We do not sell, rent, or share your personal information with third parties for their marketing purposes. We may share your information in the following limited circumstances: •Within Your Society: Visitor information (name, photo, purpose of visit) is shared with the relevant resident for the purpose of approval/rejection. Society Admins can view all visitor logs within their registered society. •Service Providers: We engage trusted third-party service providers (cloud hosting, push notification services, analytics) who process data on our behalf under strict confidentiality agreements. •Legal Requirements: We may disclose information when required by law, court order, or governmental authority. •Business Transfers: In the event of a merger, acquisition, or sale of assets, user information may be transferred as part of the transaction, subject to this Privacy Policy.

Your data is stored on secure cloud servers located in India. We implement industry-standard security measures including: •End-to-end encryption for all data transmitted between the app and our servers (TLS 1.2+). •JWT-based authentication with short token expiry windows. •Role-based access control ensuring users can only access data relevant to their role. •Regular security audits and vulnerability assessments. •Encrypted storage of passwords using bcrypt hashing. •Visitor photos are stored with access-controlled URLs that expire after a defined period. Despite our best efforts, no method of transmission over the Internet is 100% secure. We encourage you to use strong, unique passwords and keep your login credentials confidential.

Visitor photographs captured at the gate are treated with particular care: •Photos are captured solely for identity verification purposes at the point of entry. •Photos are accessible only to the resident being visited and the Society Admin. •Photos are retained for a period of 90 days from the date of capture, after which they are automatically purged from our servers. •Residents may request early deletion of visitor photos associated with their flat by contacting support. •Photos are never shared with third parties or used for any purpose other than visitor identification.

Under applicable Indian data protection laws, you have the following rights: •Right to Access: Request a copy of the personal data we hold about you. •Right to Correction: Request correction of inaccurate or incomplete personal data. •Right to Deletion: Request deletion of your personal data, subject to our legal obligations and legitimate business needs. •Right to Portability: Request your data in a machine-readable format. •Right to Object: Object to processing of your personal data for specific purposes. •Right to Withdraw Consent: Withdraw consent for data processing where processing is based on consent.
